What science and practitioners know about good note-taking, and how LostInNotes does it for you automatically.

This is not an ordinary user manual. In 1885 the German psychologist Hermann Ebbinghaus ran the first systematic study of memory: he memorized lists of nonsense syllables and measured how quickly he forgot them. By hand or on a keyboard? What the research says

A well-known 2014 study by Pam Mueller and Daniel Oppenheimer ("The Pen Is Mightier Than the Keyboard") found that students taking notes by hand did better on conceptual questions than those typing on a laptop. From a note to a vector

The moment a note is saved, its content is automatically turned into a vector - a long list of numbers that captures the meaning of the text as a point in a high-dimensional space. Picture it as giving each note a precise coordinate on an enormous map of ideas: notes about related things land close together, distant topics far apart. Crucially, position is decided by sense, not by the exact words. This is not "the AI reading all your notes" - it is a mathematical representation of the content, produced by a dedicated model on Google Cloud infrastructure.

Search by meaning, not by words

Ordinary apps match letters: typing "car" won't find a note that only says "automobile". LostInNotes compares meanings - it measures how close, on the map of ideas, a query and each note lie (technically, by cosine distance) - and returns the ones nearest in sense. So you can find a note by describing it in your own words, even if the original was phrased completely differently. It is the same class of technology that powers modern semantic search.

An assistant that answers from your notes

When a question is asked, something more than search happens. The system first pulls out the few notes nearest in meaning to the question, then hands them as context to a language model that composes a direct answer from them. This approach - first find the right knowledge, then answer based on it - is called retrieval-augmented generation (RAG). That is why the answers are concrete and grounded in your own notes rather than generic. The assistant also marks the source - whether the answer came from your notes or from general knowledge - and warns that it can be wrong, so important facts are worth checking.

This is not an ordinary chatbot

It is worth stressing the difference, because it is easy to miss. A general chatbot can do a lot, but it does not know you - it cannot tell you what your doctor actually advised, what was decided in a meeting, or what you wrote a year ago, because it has never seen any of it. Two numbers are far too few to capture the richness of thought, so the system uses hundreds of them. The principle is the same - there are simply many more dimensions, which lets it capture subtle shades of sense that a handful of tags never could. An example: a question the note did not contain outright

Months ago, after a talk with a financial adviser, you wrote a note about "a safety cushion of six months of expenses". The exact words have long faded. Today you ask: "How much should I keep in savings?". Although the note doesn't say "savings", it lies close in sense, so it reaches the answer. You didn't have to remember where it is or what you called it - you just asked, in plain language.

Meaning across languages

Modern models place meaning from many languages into a shared space. In practice a concept can be matched even when the question is put in different words - natural for an app that speaks many languages. So search feels less like matching text and more like understanding intent.

How can a machine "understand" meaning

The model that creates the vectors is a neural network trained on enormous amounts of text. By learning to predict which words appear in which contexts, it gradually builds an inner "map" on which words and sentences of similar meaning lie close together - even when they share no letters. "Car" and "automobile", "doctor" and "clinic", "stage fright" and "stress before speaking" land next to each other because they play similar roles in language. This is not understanding in the human sense, but a good enough representation of meaning for search and answers to hit the mark.

The model learned from language, not from your notes

It is worth clearing up a common misconception. The model that creates the vectors learned to understand language before it ever met your notes - on general, public texts. It uses your notes for one thing only: to compute a vector for them and find the answer to your question. It does not "study" them and keeps nothing from them permanently. This is an important distinction: the intelligence is ready in advance, and your data remains solely material for serving you - never fuel for the model.

The life cycle of a note

Behind a single "save" hides a short chain of events. The content is first cleaned for safety. Then its meaning is turned into a vector and stored in a vector-capable database. In parallel, descriptive tags are created that feed the mind map and navigation. If the text contains a reminder written in plain language, it is detected and scheduled. All of this happens in the background in a fraction of a moment - from the outside you only see that the note was saved.

Fast, and the same every time

Since comparing meanings is a mathematical operation on indexed vectors, search stays fast even when your library grows from dozens to thousands of notes - and the same question reliably surfaces the same knowledge. The heavy lifting happens on cloud infrastructure, so your phone and laptop stay light, and as embedding technology advances, notes can be represented ever more precisely, with no change on your side.

How this differs from an ordinary file search

It is worth distinguishing this from the file search everyone knows from their operating system. That one looks for names and exact fragments of text - if you don't remember the right word, it finds nothing. The good news is you don't have to choose once and for all: the same note can start by voice and be refined in writing.

You talk to it in two ways: by typing in the search field or by speaking into the microphone. How it reacts depends on the length of what you say, which lets it reconcile lightning-fast jumps to a topic with the full power of AI when it's needed.

The two-word rule

One or two words act as a lightning filter: the system instantly shows matching notes, with no heavier processing. It is the shortest route to a person, a place or a project. A longer sentence triggers full analysis: "Show photos from the 2025 holiday" or "Summarize what I noted about my thesis" is understood and turned into an answer. The same natural utterance can search, explain or create a note - with no commands to learn and no modes to pick.

Detecting intent: to ask or to save

With a longer utterance the system first recognizes the intent: is this about finding something that already exists, or saving something new? If the words describe a future task or a request for a reminder, a note is created, and the original intent - including the reminder - is faithfully kept in it. If it's a question, the assistant switches into answering mode. The right behavior appears by itself, with no manual switching. It also takes care of a sensible title: instead of the label "Note" it extracts the real subject, so "remind me to renew the insurance in March" becomes a note about insurance, not a nameless entry.

Voice in, voice out

A typed question gets a text answer; a spoken question gets a voice answer, thanks to text-to-speech. So you can use the assistant without looking at the screen and hands-free. The quality of speech recognition and the naturalness of the spoken answer both depend on the language set in your profile, so it's worth picking it once.

Response style and honesty about sources

How the assistant speaks can be tuned: there is a professional tone for focused work and lighter, more playful variants. What changes is the character of the reply, never its accuracy - the facts still come from your notes. Every answer is also labelled with whether it came from your notes or from general knowledge; notes take priority, and the assistant reaches for general knowledge only when your notes are not enough.
